Our client is looking for a bilingual French/English) Business Assistant (focus on Business Calendar Management & CRM)

Location: (Remote)

Role Overview:

The Business Assistant will play a pivotal role in optimizing the daily operations of Business Owner and nurturing his valuable network. This position requires an individual who excels in this position, is adept at managing complex schedules, and understands the importance of maintaining and enhancing customer relationships through effective CRM strategies.

Key Responsibilities:

  • Business Calendar Management: Efficiently manage and organize the owner’s business calendar, ensuring seamless scheduling of meetings, events, and travel arrangements. Anticipate and mitigate scheduling conflicts, and provide timely reminders and updates. Prioritize informing the owner about upcoming meetings well in advance and re-brief on the agenda to ensure preparedness.
  • CRM Management: Take responsibility for the maintenance and enhancement of his CRM system. This involves updating contact details, tracking interactions, and ensuring all information is current and accurately reflects his network dynamics. Conduct thorough research on various CRM tools to evaluate their features, compatibility, and efficiency in meeting his specific needs, and suggest the most suitable options for consideration.
  • Network Engagement: Utilize the CRM to identify opportunities for engagement within the network, including birthdays, anniversaries, and other significant milestones. Plan and execute outreach initiatives to strengthen relationships.
  • Meeting Preparation and Follow-up: Prepare briefing materials for meetings and ensure that all necessary information is available. Following meetings, manage the necessary follow-up actions, including updating records in the CRM and communicating with relevant parties, to ensure continuity and efficiency.
  • Project Support: Assist with various projects as needed, providing administrative and logistical support to ensure their successful completion.

Qualifications:

  • Proven experience in administrative roles with a focus on calendar management and CRM.
  • Proficiency in CRM software and MS Office suite.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Ability to handle confidential information with discretion.
  • Flexible and adaptable to manage multiple tasks in a fast-paced environment.
  • Languages: Native level of French/ Fluent business level of English is a MUST
